The Spruce Grove Electronic Council Meeting Management Software and Council Chambers Upgrade Project (the Project) will upgrade meeting software to ensure a more effective development and delivery of council meeting materials. This includes upgrading tools to interface with audiovisual systems for Council proceedings and upgrading the existing Council Chambers audio-visual (AV) system (including microphones, AV rack, projectors, monitors, and multi-camera system), and enabling recording and webcast livestreaming of Council and Committee meetings with a video capability. Scope also includes upgrading the lighting, electrical and air ventilation equipment attached to the Chambers as per operational and lifecycling requirements to ensure the best audio and visual experience of those in Chambers and those attending meetings virtually. The project will use an external party that specializes in the integration of audiovisual equipment and software systems be engaged to ensure integration between the software and audiovisual system and handle much of the project management. The project will ensure that meeting processes are carried out in accordance with the Alberta Municipality Act while addressing ongoing and future emergency-related incidences for delivering Council proceedings such as what COVID-19 brought about.
