DESCRIPTION OF THE PROJECT Essex County College is seeking proposals for Athletic Travel and Charter Bus Services to support athletics , academic programs , summer youth programs , student activity trips , and other approved College sponsored events on an “ as needed ” basis , in accordance with the instructions , terms and conditions , requirements , and specifications contained in this solicitation . This RFP will identify one or more organizations capable of providing these services under an Open - Ended Contract , Purchase as Needed . The College may make single or multiple awards to different organizations . Vendor proposals shall include a complete description of all vehicle types and services offered , including bus capacities , shuttle vans or minibuses , and any additional features relevant to safe and efficient transportation . Trips may vary in duration and distance , with some requiring overnight accommodations . For overnight trips , the vendor is responsible to book the driver ’ s room . In most cases , teams will stop for a meal when traveling to and from the destination listed . Vendors shall ensure that all vehicles and drivers meet applicable federal , state , and local regulations and safety standards ; specific requirements will be detailed in the Scope of Services section . The Essex County College Travel Coordinator will request quotes for individual trips , including event location , tolls , date , pick - up and drop - off locations , number of buses required , and number of travel days . Travel destinations may be within New Jersey or out of state . Vendors shall provide a preliminary itinerary based on information provided by the Travel Coordinator . A dedicated local travel contact and direct phone line must be available for any itinerary changes or corrections . The College reserves the right to cancel , reschedule , or reduce trips , even if the cancellation occurs past the 24 - hour period . Vendors shall provide their cancellation policies and fees . In the event an awarded vendor cannot accommodate a rescheduled trip , the College may obtain services from other vendors outside of this contract .
