Description | Canadian Museum of History 100 Laurier Street , Gatineau , QC Request for Proposals ( RFP ) for Supply of Technical Personnel and Management & Maintenance of the Technical Equipment for Special Events at the Canadian Museum of History and Canadian War Museum Purpose The Museum is seeking Proposals from potential firms who have experience in audio visual technical services for special events . These events take place at the Canadian Museum of History located in Gatineau ( Quebec ) and at the Canadian War Museum located in Ottawa ( Ontario ), Canada . This is a one - step two - envelope submission process ( Technical and Financial ) to select the overall highest ranked Proponent who may then be invited to negotiate or to enter into a Contract with the Museum . The Museum will enter into a Contract with the successful Proponent in accordance with the RFP documents and its associated General Conditions . Project Description / Objective The Museum is seeking proposals to establish a contract with a reliable Contractor to manage and supply qualified personnel for sound , lighting , and audio - visual technology for special events . This Contractor will also be responsible for managing and maintaining the technical equipment belonging to the Museums , located at : Canadian Museum of History : 100 Laurier Street , Gatineau QC K1A 0M8 Canadian War Museum : 1 Vimy Place , Ottawa ON K1A 0M8 Scope of Services Under the supervision of the Events Production Manager for both Museums , the Contractor will provide technical support for special events , i . e . Offer technical services for events ; Recruit specialized staff , ensure their training , and manage schedules ; Coordinate the technical aspects of events in collaboration with the coordinators ; Maintain permanent and portable technical equipment belonging to the Museum ; Act as an expert advisor when purchasing new technical equipment ; Offer these services 24 hours a day , 7 days a week ; Produce administrative documents ( quotes , invoices , reports ); Manage the Contractor ’ s own online reservation system to enable resource reservation by the coordinator . It will also be used to produce technical specifications and cost reports . The reservation system will include inventories of technical equipment belonging to the Museums . The booking interface must be bilingual . The Contractor shall be experienced in the production of stage , sound , audiovisual , lighting , and temporary electrical services for indoor and outdoor events . To be considered , Proposals must be received before the Closing Date and Time noted in the MERX ad through the MERX Electronic Bid Submission System . Refer to the Instructions to Proponents for all associated details . Information provided by the Proponents will be evaluated using the established criteria in the RFP . The criteria relate to previous achievements and experience , as well as technical and managerial expertise . The Security Requirements for this project are identified in the RFP documents . This procurement is subject to : Chapter 5 of the Canadian Free Trade AgreementPeriod of Services : The objective of this RFP is to establish a contract starting with a transition period on December 1 , 2024 until December 31st , 2024 to avoid a service interruption . Regular services will run from January 1 , 2025 to December 31 , 2028 . If mutually agreeable between the selected Proponent and the Museum , this Contract may be extended for up to two ( 2 ) additional periods of two ( 2 ) years each with the same terms and conditions . Firms that consider themselves qualified to provide these services are invited to submit their Proposals on the forms that are available through MERX or as directed in the procurement documents . The Museum retains the right to negotiate with the Proponents on any aspect of the procurement . Proposals may be submitted in either official language of Canada .
