Rowan University is seeking to contract with a vendor for the leasing of a combination microwave , refrigerator , freezer appliance for use in traditional residence halls ( non - apartments ) within the University Housing system as a standard issue amenity . Rowan University will be the lessee of each appliance under this contract , not the resident students . I . SCOPE OF SERVICES Rowan University ’ s main Glassboro Campus has a housing stock of 1 , 508 rooms located in traditional residence halls , which will require a combination appliance . These rooms typically house first - year student residents who are not permitted to bring personal appliances , including mini fridges and microwaves , into the residence halls . The combination appliance leased by Rowan from the awarded vendor will serve as a standard amenity for each room provided as part of their housing contract . A . Traditional residence halls with the number of rooms requiring an appliance that will be included in this contract are : 1 . Holly Pointe Commons : 737 2 . Chestnut Hall : 205 3 . Mimosa Hall : 175 4 . Evergreen Hall : 115 5 . Willow Hall : 111 6 . Magnolia Hall : 107 7 . Mullica Hall : 58 Total : 1 , 508 B . Descriptions of each building and links to representative building layouts can be found on the Residential Learning and University Housing website . Holly Pointe Commons is the only building with elevators . A map of the Glassboro campus can be found by visiting : Rowan ’ s Glassboro Campus . C . Product Specification 1 . The University is seeking a vendor to provide the following combination appliance for the scope of work outlined for this project : a . MicroFridge 3 . 1MF7 - 7B1X b . Submission of any similar alternative equipment will be accepted for the bid proposal but will be subject to Rowan ’ s determination of equivalency for consideration . D . Vendor Responsibility Included in the Unit Pricing 1 . Lease directly to Rowan University for an annual fee per unit . 2 . All appliances will be new at the start of the contract . 3 . During the weeks of summer 2027 and to be completed no later than the last business day in July ( unless a later date is requested by Rowan for operational reasons ), based on a schedule arranged and agreed upon with the University , all appliances will be installed by the awarded vendor in each traditional residence hall room , based on the quantities listed above . a . Standard room furniture layouts will be provided , which will indicate where the appliance should be placed . b . During the summer installation , the vendor agrees to accept responsibility for the authorized use of building master keys and access cards only for the purpose of completing the installation . Master keys and access cards should only be used to unlock a door to an unoccupied space scheduled to receive an appliance , as per the University ’ s schedule . Loss of master keys will result in the vendor ’ s financial responsibility to replace the building ’ s lock / core system . Any loss of access cards should be reported to the University immediately to have all door access plans removed . 4 . Any packaging included with the delivery of the new appliances should be removed before the appliances are brought inside the buildings . Trash should be taken off - campus for disposal or , alternatively , a dumpster can be arranged by the vendor at the vendor ’ s expense to be delivered to a single , University - approved location on campus . Unauthorized use of a vendor ’ s dumpster will not be the liability of the University . Rowan University ’ s dumpsters should not be used to dispose of trash associated with the delivery . 5 . The vendor will provide a stock of 10 spare new appliances , the same model installed in the rooms , to be used to facilitate replacements or additions for any reason . a . Packaging should be left on the spare appliances , so we know they are new and we can easily tell them apart . b . Stock of spare new appliances will not be billed to the University as they will be used to replace existing units as needed . c . University staff will complete the replacement as needed by removing the original appliance and installing the new appliance from the stock of spares . d . When a significant number of original appliances have been collected because of a maintenance need , malfunction , or some other deficiency , the University will contact the vendor and arrange for them to be picked up . e . When the stock of new appliances gets below 4 , the vendor will replenish the stock of new replacements .
