Task 1 . Coordination and Administrative Tasks Regular communication shall take place between the consultant ’ s project manager and the SJTPO project manager . The firm will be responsible for documenting all communications and delivering them to SJTPO . Meetings require meeting minutes , whereas phone conversations require only a follow - up email summarizing the talking points and decisions made . These should be provided to SJTPO within three ( 3 ) business days . It should be assumed that all meetings shall take place virtually . The consultant shall provide brief status updates to SJTPO via email every two weeks . The status updates should describe tasks completed in the past two weeks , upcoming tasks for the next four weeks , any delays affecting the project schedule , and any assistance that will be needed from SJTPO or other stakeholders in the coming weeks . The consultant is to produce and , as needed , update a detailed project schedule , including expected meeting dates , task completion dates , anticipated billing , and other tasks and milestones . All work is anticipated to be completed by April 16 , 2027 , as stated in Section C . Schedule . Deliverable 1 . a . Bi - weekly emails : The consultant will provide an email to SJTPO ’ s project manager on a bi - weekly basis as described above . Deliverable 1 . b . Meeting and discussion summaries : The consultant will provide minutes of meetings and email summaries of all conversations , including the talking points and decisions made , within three ( 3 ) business days . Deliverable 1 . c . Project Schedule : Including expected meeting dates , task completion dates , and bi - weekly conference call schedule , to be updated as needed . Task 2 . Traffic Count Data Collection Prior to deployment of traffic counters , the consultant shall submit a draft traffic count location and deployment plan to SJTPO for review . Locations with known or anticipated disruptions shall be avoided , rescheduled , or replaced , subject to SJTPO approval . Location Selection and Deployment Plan The consultant shall develop a traffic count program , containing a minimum of 47 locations and nine ( 9 ) screen lines , designed to support travel demand model calibration and independent validation . Traffic count locations previously used in SJTDMv4 will have the highest priority for traffic count data collection where roadway function , geometry , and access characteristics remain substantially unchanged . New data collection at these locations is intended to support continuity and longitudinal comparison between model versions .
