NOTICE OF INTENT TO DESIGNATE SOLE SOURCEThe Procurement and Contract Administration Division is publishing this notice pursuant to the City of Deerfield Beach Procurement Code section 38-116, Sole Source. The Procurement Division intends to award without competition if it is determined to be in the best interest of the City.DETERMINATION OF OTHER INTERESTED VENDORSThis Request for Information (RFI)/ Notice of Intent to Designate Sole Source is intended to ascertain whether the commodity specified below is currently available from multiple providers or brands. Any such vendor must submit the following information:The name of the interested party; andA detailed explanation consisting of all documentation showing that there are other competing sources for the identified goods herein.Regardless of any prior communications with the Procurement Division, all vendors interested in responding to this notice must submit a response to this posting containing complete responses to all of the information requested above. Any questions regarding this notice may be obtained through the Procurement Division during this publication period.No action is required if you agree with this notice.If after the public notice period the Procurement Division determines that there are other interested and qualified vendors that meet the specifications of this notice, the Procurement Division will not award pursuant to this notice. If after the public notice no valid submission has been received, the City of Deerfield Beach, or designee, may issue a purchase order to the identified vendor without competition for the one-time equipment purchase described herein.Please read the entire notification very carefully before responding to this notice.This Request for Information (RFI) is intended to ascertain whether the commodity specified below is currently available from only one source. This is not a request for pricing or a commitment to purchase.The Procurement Manager shall consider such submittals and notify all submitting vendors of the decision whether to designate a Sole Source.The following product is thought to be available from only a single source:Vendor: Ovivo USA, LLCProduct Name: EIMCO Sludge Thickener Drive Replacement PartsManufacturer: Ovivo USA, LLC (EIMCO Water Technologies)Make/Model: Part No. L115759-4, Drive Control, 4SPDT, LH, with Potentiometer; Part No. 48806A, Actuating Pin, 2.69", Steel; Part No. 89048A, Reducer, 14-88:1The City of Deerfield Beach is seeking to determine whether other qualified vendors are capable of furnishing the OEM replacement components listed above, or components fully compatible with the existing EIMCO sludge thickener drive at the City's Water Treatment Plant.The components are required to refurbish the existing drive and restore its automatic operation. They must be compatible with the installed EIMCO drive assembly, including mounting, mechanical connections, and electrical and control interface, without modification to the existing equipment.A vendor asserting that these components are available from a source other than the vendor identified above must submit all pertinent information, documentation, and technical data sufficient to substantiate that assertion. At a minimum, the response must include the manufacturer and part number of each proposed component; technical specifications or drawings demonstrating dimensional, mechanical, and electrical interchangeability with the specified OEM components; documentation of the vendor's authorization to furnish the proposed components; and a written explanation of how each proposed component is compatible with the existing EIMCO drive assembly. Statements of general capability, catalog listings, or assertions of equivalence without supporting technical data will not be considered sufficient to establish a competing source.Submittal Instructions:Vendor MUST submit its solicitation response electronically and MUST confirm its submittal in order for the City to receive a valid response through eProcurement. Refer to the Procurement Division website or contact eProcurement for submittal instructions. It is the Vendor's sole responsibility to ensure its response is submitted and received through eProcurement by the date and time specified in the solicitation. The City will not consider solicitation responses received by other means. Vendors are encouraged to submit their responses in advance of the due date and time specified in the solicitation document. In the event that the Vendor is having difficulty submitting the solicitation document through eProcurement, immediately notify the Buyer and then contact eProcurement technical assistance.If after the public notice period the Purchasing Division determines that there are other interested and qualified vendors that meet the specifications of this notice, the Purchasing Division will not designate a sole source pursuant to this notice. If after the public notice period no valid submissions have been received, the City of Deerfield Beach, or designee, may designate the identified vendor as the sole source for the product or service described herein for a period of two (2) years from the date of designation, and may acquire the product or service from the identified vendor by purchase order or contract without competition during that period.
