Vendors will provide IEP Facilitation services for matters assigned by the agency , including : 1 . Preparing for IEP team meetings , including but not limited to , scheduling , reviewing relevant background materials , communicating with parties , and drafting documents ; 2 . Facilitating IEP team meetings , in person or virtually ; 3 . Creating a supported environment during IEP team meetings , setting clear expectations for participants , and moderating the conversation to keep the meeting focused on student outcomes ; 4 . Maintaining neutrality ; 5 . Maintaining the confidentiality and security of personally identifiable information ( PII ); 6 . Utilizing Agency secured data system to access necessary documentation necessary to facilitate IEP team meetings ; 7 . Utilizing Agency - affiliated email to communicate with IEP team participants ; and 8 . Distributing evaluation surveys to meeting participants . Services may be provided in - person and / or remotely . Priority Two : Assist in Gathering Feedback for IEP Facilitation Program Vendors will assist in gathering feedback for the IEP Facilitation Program by completing the following : 1 . Collaborate with IEP Facilitation Program Coordinator on program - related materials and activities ; 2 . Participate in an annual contract performance review conducted by the Agency .
