The Hillsboro R - 3 School District is seeking proposals to replace the entirety of our phone system , including all physical phones district - wide . We are hoping to fit this project into the summer of 2026 while our regular school year is out of session . New Phone System Bid Specifications and Guidelines • All proposed hardware must be in new condition , currently supported by the manufacturer , and fully compatible with the proposed phone system . • We want the below types and quantity of phones and phone hardware ( line count is the minimum number wanted but can be exceeded if no exact phone matches ): o 10 - line color display with add - on sidecar - Quantity ( Qty ) 18 + Qty 1 spare sidecar o 10 - line color display ( compatible with sidecar but no sidecar needed ) - Qty 92 + Qty 5 spares = Qty 97 o Conference Phone ( provide wired and wireless options ) - Qty 10 o Cordless Phone - Qty 5 o 4 - line color display - Qty 292 + Qty 10 spares = Qty 302 o Phone wall mount ( quantity will be adjusted on final order ) - Qty 20 wall mounts • Proposals may include a hosted / cloud solution and an on - premise or hybrid option . These options should be clearly separated in a different proposal or sections so as not to be confusing . The District will be comparing all options available . • All phones must have a 1Gbps computer and phone port to allow a computer to be functional on the network in a separate vlan than the phone . • Phones must be powered using PoE . PoE specifications should be listed in the proposal . • All equipment should be compatible with Aruba Networks switches and access points , providing QoS for clear and consistent call functionality . • Our Primary School has no intercom integration but we want analog and SIP capabilities if needed in the future , along with every other location having both options available . If hardware limits the capabilities of a site , make sure it supports both , even though we may not purchase an add - on card right away or whatever gives that functionality . • The District would like to at least double the number of channels available for inbound and outbound calls . We are not committed to a contract for our PRI and are open to expansion or other options . • State the maximum concurrent call capacity of the proposed design and any assumptions related to licensing , SIP channels , bandwidth , or hardware sizing . • The solution must support fax , VoIP phone group paging , paging / intercom , elevator phones , emergency phones , and other analog or specialty lines through appropriate gateways , ATAs , or replacement solutions as needed . • Note any limitations or best practices for fax over VoIP . • Provide and describe backup and failover options for critical services , including outbound 911 capability during WAN or provider outages where applicable . • The solution must support desktop and / or mobile softphone applications for appropriate staff , allowing caller ID to show as District phone numbers .
